Who we are
This site is operated by WLFP Ltd, company number 16403967, registered office Flat 22 Ricardo Street, London, England, E14 6EG, which runs the West London Film Festival. For the purposes of UK data protection law, the UK GDPR and the Data Protection Act 2018, we are the data controller for the personal data described in this policy.
What we collect
Depending on how you use the site, we may collect:
- Contact details you give us, such as your name and email address, when you write to us through our contact form or by email, or when you sign up for our newsletter.
- The content of your message, when you get in touch, so that we can respond.
- Submission details, where you enter your film. Submissions are handled through FilmFreeway under FilmFreeway’s own terms and privacy policy, and any personal data you provide there is processed by them.
- Technical and usage data, such as cookies and basic analytics, to keep the site working and understand how it is used.
Why we use it, and our lawful basis
We use your information to reply to enquiries, to send you news and updates you have asked for, to run and promote the festival, and to meet our legal obligations. Under UK data protection law our lawful bases are:
- Consent, for sending you our newsletter and marketing updates. You can withdraw your consent at any time.
- Legitimate interests, in responding to your enquiries and running and promoting the festival, in a way that does not override your rights.
- Legal obligation, where we are required to keep or process certain information by law.
Who we share it with
We share personal data only with the service providers that help us run the festival and this website, under appropriate agreements, and only as far as they need it to provide their service. These currently include:
- SiteGround, our website hosting provider.
- MailerLite, our email and newsletter provider, which stores the email address you give us when you subscribe.
- Web3Forms, which delivers the messages you send through our contact form to our inbox.
- FilmFreeway, our film submissions platform.
- Google Analytics, which helps us understand how the site is used, where analytics cookies are enabled.
We do not sell your personal data, and we do not share it for anyone else’s marketing.
International transfers
Some of these providers process data on servers outside the United Kingdom, including in the United States. Where your personal data is transferred outside the UK, we rely on the safeguards permitted under UK data protection law, such as adequacy regulations or standard contractual clauses, so that your data continues to be protected to UK standards.
Cookies and analytics
We use a small number of cookies to keep the site working and, where enabled, to measure how it is used through Google Analytics. Analytics cookies are only set where permitted, and you can control or block cookies through your browser settings. For more detail, see our cookie policy.
How long we keep it
We keep personal data only for as long as we need it for the purposes set out above, or for as long as the law requires, and then delete or anonymise it. If you subscribe to our newsletter, we keep your details until you unsubscribe or ask us to remove them.
Your rights
Under UK data protection law you have the right to access the personal data we hold about you, to have it corrected, to ask us to erase it, to restrict or object to how we use it, and to ask for a copy in a portable form. You can also withdraw consent to marketing at any time, for example by using the unsubscribe link in any of our emails. To exercise any of these rights, contact us below.
You also have the right to complain to the Information Commissioner’s Office at ico.org.uk, though we would welcome the chance to put things right first.
